What is Personal Data?

Personal data refers to data, whether true or not, about an individual who can be identified from that data; or from that data and other information to which the organization has or is likely to have access. Personal data in Singapore is protected under the Personal Data Protection Act 2012 (PDPA).The PDPA establishes a data protection law that comprises various rules governing the collection, use, disclosure and care of personal data. It recognizes both the rights of individuals to protect their personal data, including rights of access and correction, and the needs of organizations to collect, use or disclose personal data for legitimate and reasonable purposes.

How does the Personal Data Protection Act work?

The PDPA will ensure a baseline standard of protection for personal data by complementing sector-specific legislative and regulatory frameworks. This means that organizations will have to comply with the PDPA as well as the common law and other relevant laws that are applied to the specific industry that they belong to, when handling personal data in their possession.

The PDPA takes into account the following concepts:

  • Consent – Organizations may collect, use or disclose personal data only with the individual's knowledge and consent (with some exceptions);

  • Purpose – Organizations may collect, use or disclose personal data in an appropriate manner for the circumstances, and only if they have informed the individual of purposes for the collection, use or disclosure; and

  • Reasonableness – Organizations may collect, use or disclose personal data only for purposes that would be considered appropriate to a reasonable person in the given circumstances.

Confidentiality

In order to keep track of important and relevant themes/issues covered in therapy and to provide an informed psychological service to you, your therapist may document what happens in session. You may also be asked to complete questionnaires to facilitate a better understanding of your circumstances and to monitor progress in therapy. These will be kept securely to ensure that your privacy is protected.

Legally and ethically, the relationship between the psychologist and clients is of a confidential nature. This means that the expressed information given to the psychologist cannot be divulged by the psychologist to anyone without the client’s expressed, written consent except:

  • in the event that a clear and present danger of physical harm to the client and/or others becomes apparent, or

  • in situations where separate parents share custody of a child under court order such that each parent may be provided access to the record of the child, or

  • in situations where the psychologist becomes aware that a person under the age of 18 is being sexually or physically abused.

  • your personal information is subpoenaed by a court, or disclosure is otherwise required or authorised by law; or

  • your prior approval has been obtained to:

    • provide a written report to another professional or agency. e.g., a GP or a lawyer; or

    • discuss the material with another person, e.g. a parent, employer, health provider, or

    • disclose the information in another way; or

    • disclose to another professional or agency (e.g. your GP, treating psychiatrist) and disclosure of your personal information to that third party is for the purpose of treatment

Data Storage and Disposal

All reasonable steps are taken to ensure that information is kept physically and digitally secure, protected against unauthorized use, and stored for the legally required amount of time.

Cancellation Policy

No show and last-minute cancellation policy

We are understanding of family emergencies and unpredictable circumstances.

There may be times when clients are unable to attend an appointment due to unexpected illness or emergency. Where this happens, clients are advised to discuss these special circumstances with the therapist, to be considered for possible fee waiver.

However, we set aside our time for your appointment, so if you need to cancel or change an appointment, please let us know ASAP. Generally speaking,

  • planning and scheduling difficulties do not constitute family emergencies or unpredictable circumstances under this policy.

  • If you can’t make it to an appointment, instead of cancelling and incurring a cancellation fee, please consider keeping the scheduled appointment but swapping to a video consultation instead.

In the event of you cancelling with less than 48 hours’ notice, please expect the following regardless of your concession rate. The fee is:

Half fee for 24-48 hours’ notice

Full session charge for less than 24 hours’ notice

This is necessary to cover the costs associated with providing the service (administration costs, time spent preparing or traveling to location, loss of income, inability to utilize time slot for another client). We are happy to provide appointment reminders by whatsapp or email upon requests. However, the ultimate responsibility for attending a scheduled session lies with the client.

On the rare occasion where Hearth Ecotherapy and Psychology Practice must cancel one of your sessions, we will let you know as soon as possible. If due to illness or emergency, it is with less than 48 hours, we will make sure we don’t charge you for late cancellation next time when the same happens to you! Your time is valuable too!

Online Session Guidelines

Having online counselling does not make it less effective or less emotive than face to face counselling.

Preparing for your Online session

This section is relevant for individuals who are attending online individual therapy sessions.

Online counselling is useful in the following situations:

  • For those who live far and do not have access to adequate support where they live.

  • For clients who cannot come to a practice due to travel or health reasons.

The environment

The emotional nature of therapy makes it important to have some space and time set aside to engage with this process fully.

Please make sure:

  • you find a space in your home that is as quiet and as private as possible

  • you have a suitable internet connection, and your computer is ideally plugged into a power source

  • you turn off all notifications on your computer and phone

  • you are seated in a comfortable place, with good back support

  • you are seated at eye level to the camera and showing at least your upper body (unless otherwise preferred due to specific traumatic triggers which we can discuss during initial consultation assessment)

  • you can be sure to be uninterrupted and not overheard during the session

  • you may wish to have some tissues, pens and paper and a glass of water

  • you can be reached on the phone in case we get unexpectedly cut off

Preparing for your Online session

Herb Infused Oils

Self care

It is preferred that you give yourself at least 10 minutes before and after the session during which you are not doing anything on your computer. It is generally wise to dedicate a little more time for reflecting and processing. You might also prepare yourself a cup of tea, stand up and stretch your body or go for a short walk outside after the session.

The day before our meeting, I will send a confirmation of our session date and time (to avoid any confusion with different time zones) and information on how to connect.
